Vendors
On behalf of
the National Tribal Justice Resource Center (NTJRC), I would like
to cordially invite your organization to exhibit at the Second Case
Management and Court Technology Conference and Vendor Exposition
being held May 2-4, 2005 at the Chateau Sonesta hotel in New Orleans,
Louisiana.
We first held
this conference in 2001 and later conducted vendor expositions in
2002, 2003 and 2004 in conjunction with the annual National American
Indian Court Judges Association Conference and Meetings, however,
because of frequent requests from our consituents for a conference
dedicated solely to Case Management and Court Technology we've decided
to conduct two such conferences, one on each coast, in 2005 and
2006. This May's Conference and Expo will be the first of the two.
Also, this time around, we are adding vendor showcases to our agendas.
The impetus
for this conference is due, in part, to the great number of tribal
nations and Alaskan villages that are looking to automate or upgrade
their court's technology and capabilities with the assistance of
grants from the U.S. Department of Justice, Bureau of Justice Assistance's
(BJA) Tribal Court Assistance Program. These grantee tribal courts
are exploring various methods and means for automating their tribal
justice case management systems in order to more effectively meet
the demands of increasing caseloads and ever shrinking budgets --
while still remaining faithful to tribal traditional culture and
practices. At the same time, we also have non-grantee tribal courts
looking to automate or improve their current technologies. Attendees
will be interested in a wide variety of technologies, including,
but not limited to: case management, records archiving, calendar/scheduling,
imaging/optical storage, court recording/voice technology, jury
systems, legal research, traffic systems, videoconferencing/teleconferencing,
etc. The conference will be open to both BJA grantees and non-grantee
courts.
Exposition
The Exposition
will allow Tribal Court Judges and Court Administrators to see your
products and/or services first hand. This is a wonderful opportunity
for marketing your product/service and, at the same time, to provide
our attendees with a chance to compare products and services side-by-side.
The Exposition portion of our Conference will be a full-day
event held on May 3, 2005. We will have an exhibit hall for vendor
exhibits. To encourage attendance and interaction, the exhibit hall
is where all breaks and refreshments will be located. Also, lunch
and an evening reception will be hosted in the exhibit hall. We
will also coordinate a doorprize raffle at the end of the day, where
the number of drawing chances are related to the number of vendors
a participant visits.
Showcases
Perhaps the
most exciting new "activity" this year is that we are
adding vendor showcases to the participants' conference agendas!
There will be just four (4) vendor showcases. Each showcase slot
will be 90 minutes in length and repeated twice so that each participant
will have the chance to see each vendor's showcase. We are repeating
the showcases twice to create a smaller group dynamic that is conducive
to interaction and a better informational exchange/learning environment
between attendees and the vendor presenter. Two of the four showcases
will be set-up in a computer lab (we will provide a lab with up
to 25 workstations) where participants can see and work along with
the vendor and its product on individual computers. The other two
showcases will have a traditional classroom set-up with a screen
and live hook-up for the vendor to present and demonstrate their
product. In addition, all of these showcase vendors will also have
a traditional exhibit space in the exhibit hall as well.
Not surprisingly,
the opportunity to be a showcase vendor will require that the vendor
pay a higher fee than an ordinary exhibitor. Also, to ensure that
the showcase also provides a learning experience (over the years,
we've learned that a presentation that is pure sales pitch makes
attendees tune out), we will be requesting that interested vendors
be willing to present at least 45 minutes of generic "educational"
lecture about their type of product, covering developmental history,
benefits, advantages, etc. to court systems. The remaining time
can then be specifically for product demonstration. In order to
present a good mix of court technologies and because we want to
ensure that the educational component is worthwhile, we will be
asking interested vendors to submit a draft "showcase"
outline. Based on the type of product and quality of the "educational"
component to the showcase, we will select 4 vendors for the showcases.
So, it's going to be a little competitve to be designated a showcase
vendor...we will not just be choosing the first 4 vendors that want
to demonstrate.
Fees
and Deadlines
The fees for
showcase vendors wil be $1000.00 if the computer lab is utilized
and $500.00 for the classroom setting. Vendors who will just be
exhibiting at a table or booth will pay $300 per exhibit space.
We hope that
you will be able to join us for this very exciting Conference and
Vendor exposition in New Orleans. Please let me know, by e-mail
(tina@ntjrc.org), whether you will be able to accept our invitation,
so that we may insure that we have adequate space for all vendors.
If you plan on just exhibiting, we need to know by Friday, April
1, 2005.
However, if you are interested in being a showcase vendor, we will
need to know if you are interested sooner, no later than Friday,
March 4, 2005. Showcase vendor candidates will receive more information
about showcase requirements once all interested candidates have
identified themselves.
